  • Candidates: Information such as CVs, cover letters, employment history, qualifications, references, professional skills, rights to work in Australia, and other compliance-related data.

  • Referees: Information necessary for verifying candidate suitability for roles.

4.0 How We Collect Personal Information

We collect personal information through various methods, including:

  • Interviews, assessments, and reference checks

We also collect personal information indirectly through third parties and publicly available sources, in cases where it is necessary or expected.

Personal information is stored securely within our systems, both in electronic and paper formats. We implement reasonable security measures, such as encryption and secure databases, to protect personal information from unauthorised access, use, or disclosure.

We retain personal information only for as long as it is needed for recruitment purposes or to meet our legal obligations. When personal information is no longer required, we take reasonable steps to destroy it or ensure it is de-identified.

  • Conducting background checks and references

7.0 Use of Artificial Intelligence Tools

We use artificial intelligence (AI) tools to support our recruitment work. This includes drafting candidate profiles, summarising interview and reference call notes, and searching our own candidate records. The AI tools we use include Anthropic’s Claude, a service based in the United States. Personal information such as CVs, interview notes, call transcripts, and contact details may be processed by these tools for the purposes described in this policy.

AI tools assist our consultants. All recruitment decisions, including which candidates are put forward for roles, are made by people, not by automated systems.

8.0 Disclosure of Personal Information

We may disclose personal information to:

  • Prospective employers
  • Professional advisors, including legal or compliance consultants
  • Third-party service providers involved in the recruitment process (e.g., background check services)


Some of our service providers and team members are located overseas. Personal information may be disclosed to, or accessed from, the United States (cloud and AI service providers, including Anthropic) and the Philippines (members of our recruitment support team). Where personal information is handled overseas, we take reasonable steps to ensure it is protected in a way consistent with the Australian Privacy Principles, including through contractual terms and access controls.

9.0 Access to and Correction of Personal Information

Individuals have the right to request access to their personal information or seek corrections if it is inaccurate. To make a request, please contact us via email or phone as provided below. We will respond within a reasonable timeframe and in accordance with Australian privacy laws.

10.0 Complaints

If you believe there has been a breach of the APPs or your personal information has been mishandled, you can lodge a complaint with us. We are committed to resolving any privacy concerns promptly and in accordance with the law.
